Late Withdrawal Policy

This policy is to meet the TBR Policy 2:03:01:01 requirement that "each institution must develop institutional guidelines outlining specific types of conditions or hardships which will be considered as acceptable for late withdrawals." 

Categories of withdrawals 

  1. For withdrawals up to and including the last day to withdraw, the student will process the withdrawal through jWeb Self-Service. 
  2. For withdrawals after the last day to withdraw through the end of classes (prior to the start of final exams), the process will be as follows: 
    1. The student will meet with his or her instructor to discuss the request to withdraw (see Item d below for a list of conditions for late withdrawal). 
    2. If the student wishes to proceed with the withdrawal and the final grade for the course has not been submitted, a "Late Withdrawal Form" must be: 
      1. Filled out by the student, 
      2. Signed by the faculty member (or dean when the faculty member is not available) indicating they have met with the student and that a final grade for the course has not be submitted, and 
      3. Submitted to the Academic Affairs Office for review by the VPAA 
    3. Circumstances currently stated by the institution as appropriate rationale for late withdrawals include serious illness, serious injury, death, or other condition or hardship deemed appropriate. 
    4. Cases involving refunds, waiving of fees, or other financial considerations must be approved by the President prior to processing by Records. 
  3. Requests for withdrawals after the end of classes (once final exam week has begun) must be processed as a Grade Appeal. The Grade Appeal process begins with the student contacting the appropriate instructors/deans. 
  4. Requests for administrative withdrawals (withdrawals that completely remove the student from the course) must be approved by the President. Administrative withdrawals will be considered when it is proven that the student is unintentionally enrolled in the course and has not attempted/attended the course. Failure to be "purged for non-payment" is not considered "unintentional" enrollment. 

 

Appropriate instructors and deans will be informed of final disposition of withdrawals processed after the last day to withdraw.
