Gift Card Policy

Gift Cards are very liquid and easily exchanged for goods or services, similar to cash. Disbursements made for gift cards do not provide an adequate audit trail due to lack of internal controls . Checks are very traceable and provide a good paper trail with appropriate documentation. Therefore , Jackson State Community College encourages the use of checks and discourages the use of gift cards .

No gift card will be purchased for the purpose of giving it to an employee of the College. If an employee feels that it is necessary to purchase a gift card to give to a non-employee, he/she must first obtain approval through the normal process and receive approval from his/her Vice President (Presidential approval is required in instances where the requestor does not report to a Vice President ). The requester must provide a written explanation supporting why a gift card is appropriate and a check is not.

In the rare cases, where a gift card purchase is approved, the requestor must obtain supporting documentation that the gift card was given to the person for whom it was intended. Obtaining a signature from the recipient acknowledging receipt or obta ining a signature from a fellow employee attesting that the gift card was given to the appropriate non-emp loyee would be acceptable forms of documentation.
