Purpose

The purpose of this policy is to establish standards for requesting data/reports for internal and external use to ensure quality, integrity, and security of data provided. It applies to all data that is housed in the enterprise information system known as Banner or 3rd party databases and systems.

Policy

  1. Data or reports which are requested through Information Technology concerning progression, retention, or completion of students or enrollment numbers pertaining to IPEDS will be submittedto Institutional Research for verification and accuracy prior to being given to the person who has requested the data.
  2. Data or reports which are requested through Information Technology pertaining to administrative functions such as HR or Finance will be submitted back to the security officer or their designee for verification of accuracy prior to being given to the person who has requested the data.
  3. Data or reports which are requested through Information Technology pertaining to Student Services will be submitted back to the security officer or designee for the area unless the data crosses multiple areas. In the case of the data crossing multiple areas the data will be submitted to areas involved for verification of accuracy prior to be given to the person who has requested the data.
  4. Data or reports which are requested through Information Technology and does not fall into the above categories will be reviewed by Information Technology and submitted to appropriate JSCC administration for guidance.
  5. Individuals or areas responsible for accuracy of data have the authority to modify the request for information once they have determined the need of the user.
